How to Log In to a Ring Group
- Locate the ring group line keys on your desk phone, labeled with ring group names such as Reception 1 or Reception 2.
- Press the line key for the ring group you want to log in to (for example, Reception 1).
3. After pressing the line key, confirm the display changes to IN–Reception 1, indicating you’ve successfully logged in and can now receive calls for that ring group.
How to Log Out of a Ring Group
1. To log out, press the same line key you used to log in (for example, the key showing IN–Reception 1).
2. Confirm the display changes to OUT–Reception 1, indicating you’ve successfully logged out and will no longer receive calls for that ring group.
Logging In to Multiple Ring Groups
You can log in to more than one ring group if needed. The process is the same for each group.
1. Press each ring group line key you want to log in to, such as Reception 1 and Reception 2.
2. Confirm the display shows IN for each ring group (for example, IN–Reception 1 and IN–Reception 2), indicating you’re logged in and will receive calls from both.
Logging Out from Multiple Ring Groups
To log out from multiple ring groups, simply press each line key individually that you wish to log out from. Each display will then show "OUT" for that specific ring group(e.g., "OUT-Reception 1" and "OUT-Reception 2").
| Note: Always check the display next to the line key. "IN" means you are logged in and receiving calls. "OUT" means you are logged out and will not receive calls for that group. |
Use Cases
Ring group login and logout are useful in the following scenarios:
Covering calls for a colleague who is unavailable.
Supporting departments during high call volumes.
Temporarily joining the reception or support team.
Managing workload by joining or leaving call queues as needed.
Best Practices
Follow these best practices to ensure smooth call handling:
Always confirm the IN or OUT status on the line key display.
Log in only to the ring groups you are actively supporting.
Log out of ring groups when coverage is no longer required.
Double-check the ring group status before leaving your desk.
Coordinate with your team when joining or leaving shared ring groups.
Tips
You can be logged in to multiple ring groups at the same time.
If calls are not coming through, verify the display shows IN.
Use ring group login instead of call forwarding when providing temporary coverage.
If you’re unsure which ring group to join, check with your supervisor or team lead.
